1. Making a Reservation

To make a reservation with Bear River Mercantile we need the following information:

1. Contact Name, mailing address, phone number and e-mail address (a back-up e-mail address is also good!)

2. What it is you would like to book -- all gear, cabins, boats, meals etc.

3. The pertinent dates for your booking -- pick-up, length of stay and return dates (for canoes and carts, this can be an approximation within your 10 day rental).

We handle reservation requests on a first come first serve basis. If we have the equipment you've requested available for your dates then a price quote will be forwarded to you by e-mail. You have 7 days to respond to the price quote, if we don't hear back from you then you are off the list and the equipment and dates open up for the next request.

2. Reservation Deposit Procedures

If you respond within your 7 days, to either accept the quote or fine tune it a bit, the booking will be held accordingly. When a booking agreement is initiated, your reservation deposit is due A.S.A.P.

There are two deposit methods available for securing your reservation:

1. Send your reservation deposit amount by personal cheque or cashiers cheque (made on a viable Canadian or U.S. Bank) or money order at the time of your booking. Bookings will not be guaranteed until such items clear but we will hold your booking during the clearing process.
2. We will still accept VISA or MasterCard Credit Card information to secure your booking, but we will not charge the card, we will only hold the number as security. When you arrive you must pay the rental in full as per our payment procedures. If you do not show up for your booking or cancel your booking (as per our Cancellation & Refund Policy) we reserve the right to charge the card at that time, all reservation deposit amounts owing. Your willingness to send us your Card Information as a reservation deposit is your acceptance to this possible charge.

4. Payment Procedures

Given the fact that Credit Card companies cost us all way too much and the fact that being off the cell phone and telephone grid is making these transactions much more difficult to complete, Bear River Mercantile is trying to work solely with good ole fashioned cash. Therefore there are two preferred methods of making your full and final payment:

1. Pay your invoice in full by personal cheque or cashiers cheque (made on a viable Canadian or U.S. Bank) or money order, to be received by Bear River Mercantile 30 days prior to your booking date. This gives us time to clear your cheque.
2. Pay at the counter in paper cash (*we do not have debit card capabilities*), certified cheque or travelers cheque when you arrive.
3. VISA or MasterCard will still be accepted as a last resort but are definately NOT preferred! BUT if you have a 'chip' card or flat card (without a raised imprint) we can not process these!!

5. Cancellation and Refund Policies

All deposits will be refunded in full, if and only if, your cancellation and refund request is made 30 days prior to your arrival date. This gives us time to try and re-book your cancelled spots. If cancellation is made after the 30 day limit, or if you do not show for your rental, then all deposit amounts will be charged (if you gave your credit card info to secure the booking) and kept as non-refundable and non-transferable. Your willingness to provide your Credit Card information as booking secure is also your permission for us to charge your card accordingly if this circumstance should arise.
