1. Making a Reservation

To make a reservation with Bear River Mercantile please send the following information:

1. Contact Name, mailing address, phone number and e-mail address (a second back-up e-mail address is also good!)

2. What it is you would like to book -- please list all the gear, what cabins, kind of boats, carts, meals etc.

3. The pertinent dates & times for your booking -- arrival date & time, for park paddlers the time of your park orientation and check-out (or rental return) dates -- for boats and carts, this can be an approximate return date within your 10 day rental limit.

4. How many people the booking is for and the dynamics of the group --  whether you are a family (mom, dad and children under 18), two families, all adults, a school group etc.

5. How you would like to receive your payment quote -- for example, if you are two couples do you want separate quotes for each couple or one quote for all. 

We handle reservation requests on a first come first serve basis.  If we have the equipment you've requested available for your dates then a price quote will be forwarded to you by e-mail.  You have 10 days to respond to the price quote, if we don't hear back from you then, you are off the list and the equipment and dates will open up for the next request.

2. Reservation Deposit Procedures

If you respond within your 10 days, to either accept the quote or fine tune it some more, the booking will be held accordingly.  When a booking agreement is finalized, your reservation deposit is due A.S.A.P.

Deposit methods available for securing your reservation:

1. For Canadian or U.S. Clients -- Send your reservation deposit amount by personal cheque or cashiers cheque (made on a viable Canadian or U.S. Bank) or money order at the time of your booking.  Bookings will not be guaranteed until such items clear but we will hold your booking during the clearing process. Exchange on U.S. funds will be included on your final payment amount.
2. For International Clients -- We will accept MasterCard Credit Card information to secure your booking, but we will not charge the card, we will only hold the number as a booking security.  When you arrive you must pay the rental in full as per our payment procedures.  If you do not show up or cancel your booking (as per our Cancellation & Refund Policy below) we reserve the right to charge your card the reservation deposit amount that is owing. Your willingness to send us your Card Information as a reservation deposit is your acceptance to this possible charge.

3. Reservation Deposit Amounts Required

Canoes & Kayaks -- $50.00 / boat                             

Cabins -- $40.00 / cabin / night

Carts -- $20.00 / cart

Paddlers Packages -- $100.00 / canoe unit

Vacation Packages (7 or more nights) -- $20.00 / cabin / night

Front Country Packages -- $ 100.00 / canoe unit

4. Final Payment Procedures

There are two methods for making the final payment for your booking:

1. Pay your invoice in full by personal cheque, money order or cashiers cheque (made on a viable Canadian or U.S. Bank) to be received by Bear River Mercantile 30 days prior to your booking date (this gives us time to clear your cheque before your arrival).
2. Pay at the counter in paper cash (*we do not have debit card capabilities*), certified cheque or travelers cheque when you arrive.

5. Cancellation and Refund Policies

All deposits will be refunded in full, if your cancellation and refund request is made 30 days prior to your pre-reserved arrival date. This gives us time to try and re-book your cancelled spots.  If cancellation is made after the 30 day limit, or if you do not show for your rental, then all deposit amounts will be non-refundable and non-transferable (if you gave your credit card information to secure your booking then your card will then be charged the pertinent deposit fees). Your willingness to provide your Credit Card information as a booking security is also your permission for us to charge your card accordingly if this circumstance should arise.
